LEGAL ADMINISTRATIVE AND COURT FILING SPECIALIST, 10-12 Hrs/Week

The legal administrative and court filing consultant manages an average caseload of 40-50 clients who are in the stages of signing legal agreements all the way through the completion of the divorce filing process.

Specifically, you will:

  • Ensure clients sign and return legal agreements
    Initiate the court filing process for all clients.
    Prepare court forms for clients’ signatures.
    Follow up with clients and answer questions regarding divorce filing process. Send client emails for manual process
    Track client cases on county docket and follow up with prothonotary office, as need, and notify clients of requirements and deadlines.
    Check filing forms for clients for accuracy prior to submitting
    Stays on top of filing changes and updates filing instructions as needed.
    Manage document shredding services with vendor.
    Maintains status reports and updates process documentation, as needed.
    Attends team meetings, as requested.

QUALIFICATIONS:

Minimum associate’s degree. Must possess high level of attention to detail, adherence to legal protocols and procedures, and exceptional organizational and customer service skills required. Paralegal certificate strongly preferred, along with prior experience in family law firm required. Familiarity with divorce filing process in PA is ideal.  Must be very comfortable with technology and automation, including Box.com, Hubspot CRM, Google Apps, and familiarity with document assembly software.  Likes to have a good laugh.

This is a 1099-contract position, estimated at 10-12 hours per week, with a flexible schedule and opportunity to work remotely and/or in office.

P/T INTAKE SPECIALIST (contractor position), 6-8 Flexible hrs/week

As a member of our team, you will be the first point of contact for prospective clients who are considering their options for divorce.  The intake specialist is responsible for handling all calls and facilitates educating and providing general information on options and next steps prior to scheduling consultations.

The ideal candidate is someone who can compassionately move a conversation forward and educate others, possess an outstanding phone demeanor, high level of empathy, professionalism, strong knowledge and interest in issues surrounding families in the transition of divorce.  

Specific responsibilities include:

  • Schedule and conduct intake assessments for potential clients. 
    Updates and maintains contact records.
    Educate on mediation readiness, our programs and services, costs, etc.
    Editing and updating email templates.
    Screen out and make appropriate referrals to affiliate network, as needed.
    Maintain monthly reports, as needed
    Attends team meetings and offers input on intake process improvement.
    Contributor to our blog, as requested.

Education and Experience:

Bachelor's degree required, with at least 1-3 years work experience in social work or human resources setting.  This individual will also be highly-detail oriented, can follow procedures while also able to make quick judgment calls when needed. Must enjoy using and troubleshooting technology on the job and is expected to adapt and learn new technology.  Experience with CRM, and online scheduling software required. Proofreading skills required. Excellent oral and written communication skills. Sales or marketing experience strongly desired.  Likes to have a good laugh.

This is a p/t 1099-contractor position for 6 flexible hours/week. Must have reliable computer, and smart phone that can work with VOIP phone system.  Work remote and/or in our home-based office. Training provided.

P/T PARENTING MEDIATOR & COACH (contractor position)

As a parenting-mediator and coach, you will assist clients in navigating all aspects of children's well-being as parents separate households. 

Specific responsibilities include:

  • Facilitate productive communication between spouses to guide parties toward mutual agreement around all decisions around living arrangements and children's well-being.
    Provide guidance, education and coaching on child development, managing behaviors and parenting in separate households.
    Review case files in preparation for parenting sessions.
    Prepare a detailed outline of terms and memorandum of understanding as the basis for attorney-drafted parenting plan.
    Collaborate with attorney-mediator and discuss strategies.
    Offer additional resources, including professional referrals from our divorce support network.
    Orientation and collaboration with professionals involved with the case.
    Attend consultations, as requested.
    Participate in team meetings, contribute to blog, podcast, professional orientations, other firm initiatives as requested.

    This is a p/t 1099-contractor position for 1-4 mediations/month. Must have reliable computer.  Work remote. Training provided.

EXPERIENCE AND BACKGROUND REQUIRED

The ideal candidate has a background in mental health and social service,  (S)he will have a minimum bachelor's degree (master's strongly preferred) with at least 3-5 years experience working with diverse family situations, including blended and adoptive families and families with children who have special needs. Familiarity with legal agreements ideal, as well as mediator training. 

The parenting-mediator and coach will be an outstanding communicator, with exceptional interpersonal skills and the resulting ability to build client relationships. Ability to foresee and clarify issues, concerns, needs, and interests of all parties involved to move toward resolution as well as provide exceptional client service and delivery. (S)he will be comfortable with using and learning technology, including: Google Docs, Hubspot CRM and Zoom video-conferencing.  Team player, with willingness to adapt with changing priorities of a small firm also essential.
